The General Non-Profit Incorporated Organization Tokyo Biennale (herein after called “The Organization”) recognizes the importance of privacy protection, the laws surrounding it, and other related regulations. We have established and follow basic methods for the protection of personal information of our organization (to be called “The Privacy Policy” herein after).
1. Definition of Terms
All terms that are used within The Privacy Policy are as defined by the Protection of Personal Information Act.

3. Management of Personal Information.
The Organization will handle the leakage of personal data and take the necessary and appropriate measures for the prevention of loss or damage, and other security management processes of personal data to ensure that the members of The Organization perform the necessary and appropriate management, protection and security of personal data.
4. Distribution of Personal Information.
To seamlessly develop the business of The Organization, it is required to assign a portion or the entirety of personal information handling to a third party and a necessary extent of personal personal data will be provided to these contractors. The Organization will form a contract with the contract partner relating to the handling of personal data.
5. Shared use of personal data.
The Organization will work with the Tokyo Biennale Citizen’s Committee for the purpose of reporting on the organisation’s activities and conduct collaborative projects with the shared use of personal information such as name, address, phone number, e-mail address, gender, date of birth, etc. used in application forms. In this event, our organisation will be the chief administrator of this personal information.
6. Distribution of personal information.
The Organization will not, except in the case of clauses – 4. Distribution of personal information and 5. Shared use of personal information – disclose personally identifiable information nor personal information collected by The Organization to any third parties.

- If it is necessary to protect the life, body or important assets and if contact cannot be made with the person.
- If it is necessary for a national institution or local public entity, or affiliated person(s) to cooperate in performing the affairs specified by laws and regulations where gaining consent from the person may risk hindering business operations.
7. Disclosure, correction, suspense of use, removal, etc. of personal information
Based on the Protection of Personal Information Act and other laws and regulations, The Organization confirms that, in such an event, we will respond promptly to the person’s right to request notification related to the disclosure, correction, addition, deletion, suspended use, removal, or suspended provision to third parties.

The Organization may revise this privacy policy in line with changes in laws and regulations as necessary to protect personal information. On these ocassions, the latest privacy policy will be provided on this website.
